Job Description
The position will be working within the Division’s Administrative services’ unit, performing open records responsibilities. This includes, locating Division records, scanning, uploading, redacting, and issuing open records requests. Candidate must be able to work with a team of staff located statewide to locate records in a timely manner; complete assigned work within defined timelines. Computer experience is preferred.

• A successful candidate will be able to work independently, complete assigned work within defined timelines, and have good attendance

• Must be able to use a computer and be familiar with Microsoft Outlook and Word



Additional training will be provided to the selected candidate.



Complex office support work performed under close/limited to general supervision. The majority of duties performed at this level must include any combination of complex program-related functions or complex administrative functions as defined below. Positions may also function as lead worker to other staff within the work unit. The duties assigned to positions at this level require analytical or independent reasoning and are more complex than those performed within the Office Associate classification. The consequence of error is greater than that of the work described at lower levels. Personal contact with employees, supervisors and the general public is common. Performance of the tasks requires extensive contact with operating units within and outside the agency or campus and occasionally between agencies or campuses. Working relationships are maintained with professional program staff and administration staff such as Accountants, Budget and Policy Analysts, Auditors, Purchasing Agents, etc.

Under general supervision of the Deputy Administrator, this position serves as the Division of Quality Assurance records and forms manager. Coordinate the development, analysis, and implementation of paper and automated records and forms programs for the division. Coordinate the processing of open records requests and the development, utilization, and maintenance of forms and publications, applying knowledge of program content areas, division operations, and applicable statutes, regulations, and policies. Provide leadership, training, and consultation to division staff regarding open records law and the development, utilization, and maintenance of forms and publications. The position develops and manages a system of reporting and data collection necessary to facilitate the program review and reporting processes; develops plans and provides training and technical assistance to support the records/forms program.
