Job Description
Required Education:

High School Diploma or GED equivalent



Minimum Qualifications:

• Current resident of the State of Wisconsin

• Current Wisconsin Driver's License and access to a reliable insured vehicle; both maintained throughout employment.

• At least two (2) years of working in high quality administrative and clerical assistance role, preferably in a contract or legal setting.

• Intermediate knowledge and ability to work with different databases.

• Intermediate knowledge of Microsoft Office Software such as Outlook, TEAMS, Word, Excel, and PowerPoint.

• Demonstrated excellent customer service skills is required

• Experience in the Microsoft Suite (Word, Outlook, Excel, Teams)

• Experience with Adobe Pro for document redaction

• Strong communication skills to support external partners, customers, and internal departments

• Multitasking/prioritization is a must in order to meet deadlines

• Scheduling meetings and taking minutes from meetings

• Filing and mailing through the USPS

• Purchasing / creation of requestions on the ERP system



Preferred Qualifications:

• Training in administrative or executive assistant preferred

• Familiarity with contracting or provider network environment strongly preferred

• Familiarity with social services or behavioral health strongly preferred

• Ability to work in environment with quickly changing demands; Excellent customer service skills required



Nice to have skills:

• Experience handling public records



Job Responsibilities:

• Information Management: Organize, manage, and track contract and provider information/data into the client’s databases. Data entry, track and monitor compliance including but not limited to audit, insurance certificate, etc. Generate reports as required.

• Open Records Request: Receive, acknowledge, log, redact, and complete open records requests using County approved software application and platform.

• Communication and Internal/External support: Receive, manage, acknowledge, route, and respond to internal/external emails, including shared mailboxes as well as phone calls. Send out provider communication as requested by management. Provide support and assistance to costumers, consumers, and other stakeholders.

• Office Management and Contract Support.

• Develop and manage Contract Management office processes as well as suggest process improvements.

• Perform office duties such as copying, filing, creating binders, monitor inventories and order supplies and small office equipment. Manage incoming and outgoing mail.

• Meetings: Attend meetings; create agenda; take minutes, attendance; distribute and file minutes.

• Special Projects: Assist Contract Management staff in preparing for presentations. Handle any special project and/or assignments.

• Other: Assist with other contract-related and office duties as assigned.
