Job Description
This role is a short-term, project-focused position, ideal for candidates with strong attention to detail and a proven ability to work efficiently with scanning equipment and file management tools. The primary objective is to ensure all missing contracts are properly digitized and uploaded into Salesforce, maintaining compliance and data integrity.



Position Responsibilities:

Document Retrieval and Preparation

o Locate and organize fully executed contracts from physical files.

o Verify that each contract is complete and ready for scanning.



2. Scanning and Imaging

o Operate high-speed scanning equipment to convert physical documents into digital files.

o Ensure each page is captured clearly and in the correct order.



3. Quality Assurance

o Review scanned documents for accuracy, completeness, and legibility.

o Re-scan pages if necessary to maintain consistent quality standards.



4. Data Entry and Uploading

o Upload digital copies of contracts into Salesforce, following established naming conventions and file structures.

o Verify successful file transfers and confirm that metadata is accurate.



5. Records Management

o Track progress and maintain logs of scanned documents for auditing and reference.

o Organize digital folders to guarantee easy retrieval and future use.

6. Collaboration and Communication

o Coordinate with team members to resolve discrepancies or locate missing information.

o Provide regular project updates to management regarding scanning progress.



7. Adherence to Confidentiality

o Handle sensitive contract data with the utmost discretion, following all privacy and compliance regulations.



8. Equipment and Workspace Upkeep

o Perform basic troubleshooting on scanning equipment.

o Keep the workspace organized and free of clutter to maintain efficiency.





Top 5-10 responsibilities:

Required Software Skills

• Ability to work scanner

• Proficiency in operating standard scanning software and hardware

• Basic familiarity with Salesforce for file uploads and record management

• Experience with Microsoft Teams or equivalent communication tools (for updates and potential remote collaboration)

• General office software knowledge (e.g., Microsoft Office, email)
