Job Description
Education & Experience:

• High School Diploma or GED, or equivalent AND minimum three (3) years of experience working in a corporate or business office environment OR Minimum four (4) years of experience working in a corporate or business office environment

• Minimum two (2) years of experience in Communications, Business, Health Care, or a directly related field



Specific Systems Knowledge Required:

• Outlook, Microsoft Teams, Word Doc, PowerPoint and Excel



Specific Systems Knowledge Preferred:

• Visio



The Senior Administrative Assistant will provide comprehensive administrative support and project coordination for the department head, managers, and staff members. This position requires the ability to manage multiple tasks, prioritize efficiently, and handle confidential information with discretion.



Key responsibilities include:

- Communication and Visitor Management:

• Answer incoming phone calls, screen inquiries, take messages, and route calls to appropriate team members

• Greet and assist visitors, vendors, and external stakeholders, ensuring a positive and professional experience



- Supporting 4 Senior Leaders:

• Manage multiple calendars of senior leaders, schedule meetings, and coordinate logistics

• Organize and execute special events, demonstrating a thorough understanding of event planning, logistics, and coordination

• Arrange travel, accommodations, and itineraries for the leader and other team members

• Process bi-weekly timekeeping for leaders’ direct reports and prepare monthly expense reports for designated leaders

• Order meals for meetings and events as required

• Provide meeting support, including setting agendas, taking minutes, capturing action items, and ensuring timely follow-up and communication



- Event Coordination will be done in partnership with someone and under supervision of Manager:

• Assist in the coordination and execution of large-scale, medical center-wide events, including planning, logistics, ordering supplies, and event-day support

• Manage communication, scheduling, and overall logistics for events to ensure a seamless experience



- Miscellaneous Administrative Office Support:

• Perform various administrative tasks to support the hospital administration office, including ordering supplies, maintaining records, and completing special projects as assigned

• Other duties as directed by leadership to ensure smooth departmental operations



Additional Details:

• Interview Process: 2 interviews. One via teams and one in person

• Office Location: Panorama City CA

• Travel for this role: Limited-5%

• No regular travel will be required. There might be limited travel for offsite support if needed. Offsite support may occur up to 2-3 times a year

• Parking Situation: Employee parking structure on campus

• Dress Code: Business casual (no jeans, open toe shoes, no sneakers)
